Digitization of the municipal archives of the municipality of Zriba
Problem
The municipality of Zriba faces difficulties in managing and organizing its paper administrative archives, accumulated over the years. This situation results in: delays in administrative processing, difficulties in retrieving official documents, risks of loss or deterioration of documents, limited transparency and restricted public access to information.
Status quo
The municipality of Zriba currently relies mainly on paper filing systems to store its administrative and historical documents. This traditional method poses several problems, including limited storage space, frequent misplacement of documents, and difficulty in efficiently searching for information. Approximately 80% of municipal archives are preserved in physical format, which slows down the processing of requests by municipal staff and limits citizens’ access to public information.
Some preliminary measures have already been undertaken, including the partial classification of archived documents and the identification of priority files for digitization. However, the municipality still lacks digital infrastructure, document-management tools, and training for staff to ensure a complete and sustainable digital archiving system.
Action
This commitment aims to digitize the municipal archives of Zriba in order to improve transparency, efficiency, and the preservation of public documents. Through this initiative, the municipality will create a comprehensive digital system enabling staff to manage administrative documents more efficiently and allowing citizens to access public records online. This commitment includes the classification and digitization of physical documents, the creation of secure digital archives, the creation of an online platform for public access to a selection of documents, and training of municipal employees in digital archiving and data protection.
