2019 OGP Global Summit Event Logistics Consultant

About the OGP Global Summit: Together with the Open Government Partnership (OGP), the Government of Canada is hosting the 6th OGP Global Summit in Ottawa, Canada, from May 29-31, 2019. OGP Global Summits bring together upwards of 2,000 participants from local and regional governments, civil society groups, academia, and beyond to share knowledge and collectively create solutions for more open and transparent governments around the globe.

Description of Consultancy: The consultant will help coordinate the 6th OGP Global Summit to be held in Ottawa, Canada from May 29-31, 2019. The consultant will be primarily responsible for supporting the planning and logistics of OGP-organized side events, such as the Civil Society Day, OGP Government Points of Contact Day, and the OGP Steering Committee Meetings, in coordination with the OGP Support Unit (SU). The consultant should be based in Ottawa, Canada.

Term of Consultancy: ASAP - June 14, 2019; 3-5 days/week

Deliverables: The consultant will perform the following tasks and deliverables:

  • Work closely with OGP SU staff and host government to coordinate event logistics and ensure that the venue and production will sufficiently and smoothly support the OGP-led side events such as Civil Society Day (May 28), Government Points of Contact Day (May 28), and the Steering Committee Meeting (May 29)
  • Join regular planning calls and coordinate with OGP SU staff and consultants to support the development of side event agendas and communications with event attendees
  • Attend logistics and venue meetings in Ottawa on behalf of the OGP SU
  • Support the planning and tracking of other side events and summit activities, as needed
  • Liaise with local vendors such as printers for OGP printed materials, photographers, etc., as needed
  • Respond to general public inquiries about the Summit and provide answers to frequently asked questions
  • As needed, support coordination around Summit logistics, operations, and administration and attend planning calls and meetings

Experience and Skills needed:

  • Relevant experience in event management, ideally with a range of actors
  • Ability to manage projects, with strong attention to detail and cross-team collaboration, including sharing information to update both on progress and setbacks
  • Excellent written and verbal communication skills required
  • Ability to thrive in a multi-cultural, multi-lingual, often “virtual” team setting with colleagues based around the world
  • The consultant will be required to work flexible hours to accommodate time zone differences and to ensure the success of the OGP Summit. The consultant will coordinate with the OGP SU on all activities.

Compensation:

The consultant will be compensated a daily rate based on the budget available and level of experience.
